Registration Process

A step-by-step walkthrough of the SENESCYT degree registration process, from initial submission through final approval. Knowing what to expect at each stage helps you avoid delays and respond quickly when action is needed.

Step 1: Beginning the Process

The SENESCYT registration process begins on the official SENESCYT website through their SIAU online portal. You will create an account and submit your documents digitally. During the initial submission, you will need to upload:

  • Your passport
  • Your apostilled diploma
  • Your official academic transcript
  • Your Field of Knowledge letter
  • Your Modality letter

Each document must be a clean, high-resolution scan in PDF format. The system may reject uploads that do not meet formatting requirements. Refer to our Document Checklist for exact specifications on each document.

After submission, your application enters a queue for review. You will receive a request code that you should save — this code is used for all follow-up communication and to check your application status.

Step 2: Common Rejections

Rejections happen frequently and usually happen quickly after submission. They are almost always for minor, fixable issues rather than fundamental problems with your degree. Common rejection reasons include:

  • Unclear scans — blurry text, poor contrast, or phone photos instead of proper scans
  • Missing signatures — documents that require a signature from a university official but were submitted unsigned
  • Formatting issues — wrong file format, files too large or too small, scans that are cropped or missing edges
  • Incomplete information — a letter that does not include all the fields SENESCYT requires

The good news: resubmission is free. When you receive a rejection, read the reason carefully, fix the specific issue, and resubmit. Double-check all scans before uploading. A single rejection typically adds 1–2 weeks to your timeline, so getting it right the first time matters.

Step 3: Applying From Outside Ecuador

The SENESCYT registration process is almost entirely online. You can complete the submission, respond to document requests, and communicate with your analyst from anywhere in the world. The only step that requires a physical presence in Ecuador is the verification appointment.

At the verification appointment, you present your original apostilled diploma at a SENESCYT office. However, you do not need to attend in person. A proxy can attend the appointment on your behalf. To authorize a proxy, you need:

  • A copy of the proxy's cédula (Ecuadorian ID) or passport
  • An authorization letter signed by you, granting the proxy permission to attend on your behalf

About 90% of our clients complete the entire process remotely using a proxy for the appointment. This is a well-established practice that SENESCYT offices are familiar with.

Step 4: Handling Difficult Document Requests

During the review process, the assigned SENESCYT analyst may request additional documents or clarifications. Some of these requests are straightforward. Others can be confusing, repetitive, or seem impossible to fulfill.

Always include the Field of Knowledge letter with your initial submission. This is one of the most commonly requested follow-up documents, and including it upfront avoids a round of back-and-forth that can add weeks to your timeline.

If your case stalls after the verification appointment — meaning you have submitted everything requested but receive no updates for an extended period — it is time to escalate. When escalating, email all key contacts simultaneously. This creates visibility across multiple departments and significantly increases the likelihood of your case receiving attention.
