Can You Register Your Degree with SENESCYT from Abroad?
How to complete the entire process remotely from outside Ecuador.
The Short Answer: Yes, Almost Entirely
You can complete roughly 95% of the SENESCYT registration process from the United States or anywhere else in the world. About 90% of our clients do exactly this. The entire document gathering phase, online submission, and even the analyst review happen without setting foot in Ecuador.
There is only one step that requires a physical presence at a SENESCYT office in Ecuador: the verification appointment. And even that step can be handled by a proxy on your behalf. So the practical answer is yes, you can register your degree without being in Ecuador at all.
What Can Be Done Remotely
Here is a breakdown of each phase and whether you need to be in Ecuador:
- Document gathering: Done entirely from the US. Your diploma, transcript, and university letters all come from your American university. The apostille comes from your state Secretary of State.
- SIAU account creation: Done online. The one complication is the Ecuadorian phone number requirement (more on this below).
- Online submission: Done entirely online through the SIAU portal from anywhere in the world.
- Verification appointment: This is the only in-person step. A proxy can attend for you.
- Analyst review: Happens on SENESCYT's end. You wait (and follow up) regardless of where you are.
- Receiving your registration: Digital. Your registration number appears in the SENESCYT database and can be verified online.
The Verification Appointment
The verification appointment is a brief in-person visit to a SENESCYT office (either Quito or Cuenca) where an official examines your original apostilled diploma. The purpose is to confirm that the physical document matches what you uploaded to the SIAU portal. The appointment typically takes 15 to 30 minutes.
If you are already in Ecuador, or plan to be, you attend this yourself. But if you are registering from abroad, you send a proxy.
Using a Proxy for Your Appointment
A proxy is someone who attends the verification appointment on your behalf. This is a standard practice that SENESCYT accommodates regularly. Here is what the proxy needs to bring:
Required Documents for the Proxy
- Notarized power of attorney: A document authorizing the proxy to represent you at the SENESCYT appointment. This can be notarized in the US and apostilled, or notarized by an Ecuadorian notary if your proxy is already in Ecuador. The power of attorney should specifically reference the SENESCYT registration process.
- Your original apostilled diploma: This is the physical document, not a copy. The SENESCYT official needs to examine the original. You will need to ship this to your proxy in Ecuador (see the shipping section below).
- The proxy's identification: Their cédula (Ecuadorian ID) or passport. SENESCYT needs to verify the identity of the person attending.
- A copy of your passport: The same passport copy you uploaded to the SIAU portal.
Who Can Be Your Proxy?
Your proxy can be anyone you trust who is physically present in Ecuador. Common choices include:
- A friend or family member already living in Ecuador
- A fellow expat in Cuenca, Quito, or wherever the appointment is scheduled
- A professional service that handles proxy appointments
- A lawyer, although this is usually overkill and expensive for what is a simple procedural step
The proxy does not need specialized knowledge. They are not answering questions about your degree or defending your credentials. They are simply presenting a physical document for inspection. It is a straightforward errand, not a hearing.
The Ecuadorian Phone Number Problem
The SIAU portal requires an Ecuadorian mobile phone number to create your account. An SMS verification code is sent to this number during registration. If you are in the US, this creates an obvious challenge.
Here are your options:
- Ask a friend in Ecuador: If you know someone in Ecuador, ask them to receive the verification code on their phone and relay it to you. They will only need to do this once during account creation. This is the most common and simplest solution.
- Virtual phone number: Some virtual phone number services provide Ecuadorian mobile numbers that can receive SMS. Success with these varies since SENESCYT's system sometimes rejects virtual numbers.
- Wait until arrival: If you are moving to Ecuador soon, you can wait and create the SIAU account after you arrive and purchase a local SIM card. The downside is this delays your submission.

Shipping Your Diploma to Ecuador
If you are using a proxy, you need to get your original apostilled diploma to Ecuador. This requires international shipping, and the logistics matter because your diploma is an irreplaceable document.
Recommended Shipping Method
Use FedEx International Priority or DHL Express. These carriers provide tracking, insurance, and reliable delivery to Ecuador. USPS international mail is not recommended due to unreliable delivery times and limited tracking once the package enters the Ecuadorian postal system.
Customs Declaration
On the customs form, declare the contents as "educational documents" or "personal academic documents." Set the declared value at $0 or a nominal amount. Do not declare a high dollar value, as this can trigger customs inspections and import duties that delay delivery and create unnecessary complications.
Packaging
Use a rigid, non-bendable envelope or mailer. Diploma paper is typically heavy cardstock, but apostille certificates attached to the diploma can be multi-page documents held together with staples or grommets. A rigid mailer prevents bending and damage during transit. Consider double-enveloping: place the diploma in a plastic sleeve, then inside the rigid mailer.
Delivery Time
FedEx International Priority and DHL Express typically deliver to major Ecuadorian cities in 4 to 7 business days. Expect occasional delays during Ecuadorian holidays or if customs decides to inspect the package. Always ship with tracking so you can monitor the delivery and coordinate with your proxy.
Getting Your Diploma Back
After the verification appointment, your proxy will have your original diploma. You have three options:
- Have your proxy hold it until you arrive in Ecuador
- Have your proxy ship it back to you in the US using the same FedEx/DHL method
- Have your proxy store it in a secure location (safety deposit box, etc.) until you need it

Many expats plan to "figure out SENESCYT when they get there." This is a mistake that costs months. Here is why you should start the process before you move:
Hit the Ground Running
If your degree is already registered when you arrive in Ecuador, you can immediately start the next steps of your plan. Whether that is applying for jobs, starting the professional visa process, or enrolling in further education, having your SENESCYT registration in hand means zero wait time for the credential piece.
Apply for Jobs Immediately
Ecuadorian employers, especially larger companies and organizations in regulated industries, want to see your SENESCYT registration number before they make a hiring decision. If you arrive without it, you are telling employers to wait 2 to 4 months while you sort out your credentials. Many will simply move on to another candidate.
Start Your Visa Faster
The professional visa requires a SENESCYT-registered degree as a prerequisite. If you arrive in Ecuador and only then begin the SENESCYT process, you are looking at 2 to 4 months before you can even start your visa application. Then the visa process itself takes additional time. Registering before you move means you can begin the visa application shortly after arrival.
Document Gathering Is Easier from the US
Requesting documents from your American university is easier when you are in the same country, same time zone, and can potentially visit the campus in person. Getting the apostille is also simpler when you are in the US. Trying to coordinate with a state Secretary of State office from Ecuador, across time zones, with international shipping delays, adds unnecessary complexity.
A Practical Timeline for Remote Registration
Here is what the process looks like when you do it entirely from the US:
- Weeks 1–2: Request apostille, transcript, Field of Knowledge letter, and Modality letter simultaneously. Prepare passport scan.
- Weeks 2–4: Documents arrive. Scan everything at 300 DPI, save as PDF. Create SIAU account (solve the phone number issue). Submit application online.
- Week 3–4: Ship your original apostilled diploma to your proxy in Ecuador via FedEx or DHL.
- Weeks 4–6: Proxy attends verification appointment at SENESCYT office.
- Weeks 6–12: Analyst review. Follow up as needed.
- Week 8–14: Registration complete. Your degree is in the SENESCYT database.
This timeline assumes smooth document gathering. If your state has a slow apostille process or your university is unresponsive, add 2 to 4 weeks.
